SUMMARY:

Under the guidance and direction of the Executive Director, Enrollment Services, this individual is responsible for the support Cumberland County College's mission statement and strategic objectives and is accountable and responsible to provide professional, friendly and courteous responses to requests for information from and\or communication to students, employees and external customers, maintain the confidentiality of the documents and business of the One Stop Enrollment Services department, and otherwise provide data management and administrative support functions.

Examples of Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (other duties may be assigned):

Serve as the first contact for students calling or visiting the One Stop Enrollment Services Office.

Effectively communicate general information and current enrollment services policies (Admissions, Registration, Bursar, and Financial Aid) to both internal and external customers.

Assist prospective and enrolled students with enrollment-related questions.

Provide guidance and engage the appropriate specialist to resolve issues as needed; possess expert knowledge of the student portal; guide students on navigating the various self-service resources; and work collaboratively with other campus constituents in order to provide effective and efficient student services.

Assist students with all aspects of the admissions and registration process, which may include: Registration, Enrollment Changes, Admissions Applications, New Student Orientation, Selective Admissions, Chargebacks, Transcripts, Commencement, and special events.

Receive and code financial aid documents in students' accounts. Advise students regarding the FAFSA and loan application process, outstanding documents, the verification process and potential eligibility.

Process payments and other transactions to the student account and balances daily. Assure accurate and timely daily cash transactions and reconciliations Assist with the collecting of outstanding student balances.

Advise students and parents of payment options and arrangements. Assist with processing returned checks, chargeback billings, and past-due balances.

Problem-solve the research, analysis, and resolution of student disputes/issues as they relate to One Stop Enrollment Services functions.

Maintain accurate and confidential student records in compliance with FERPA regulations.

Compose and type correspondence, documents, purchase orders, and reports. Compile and prepare statistical reports. File correspondence and other records.

Prepare outgoing and sort incoming mail.

Maintain a commitment to and serve as an example of service excellence within areas of responsibility.

Other related duties as assigned by supervisor.

Typical Qualifications

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Advanced Vocational required, Associate degree preferred; minimum three years' secretarial or clerical experience and/or training; or equivalent combination of education and experience. Must be computer literate with a working knowledge of Internet, e-mail, Microsoft Office Suite. Ability to learn on-line functions such as scheduling, data entry, etc. Colleague experience preferred.

Must enjoy a fast-paced environment and be energetic, and diplomatic. Must have proven ability to effectively handle competing priorities and multiple tasks, to take initiative, to troubleshoot, and to work effectively within a close team environment. Attention to detail and a commitment to delivery of quality customer service is required. Some evening or weekend hours may be required.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to students, visitors or members of the public.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Must have sound analytical/problem solving, organizational and planning skills;
